Office Manager (24 hrs = 4 x 6 hrs)

The role
Bopinc is looking for a dedicated and organized Office Manager to ensure the smooth day-to-day functioning of our Utrecht office and provide essential administrative and personal support to both the Utrecht team and our global Country offices.
Key Responsibilities:
Utrecht Office Operations: Manage office logistics including entrance badges, parking, phone, visitors, mail, and supplies. Coordinate "Bopinc Thursdays" and team events. Arrange meeting room bookings.
Taking Care of All Giraffes (Staff): Collaborate with HR to celebrate staff milestones, assist with travel arrangements for visiting colleagues, support HR with security training, and help organize company-wide events.
Travel: Assist with travel arrangements (visas, accommodations, flights) for staff and handle insurance claims. Manage relationships with travel partners.
Administrative Assistance: Support HR with administrative tasks, maintain team information on Atlas, assist Country offices with Afas queries, and ensure adherence to internal procedures.
Board Secretary: Organize meetings and take minutes for the Bopinc Supervisory Board. Be the contact person for Board members.
ICT Support: Coordinate with ICT support to provide laptops and manage email/Slack accounts for the global team. Oversee laptop distribution and manage various online accounts.

Qualifications
Secondary vocational education (MBO) or higher
seasoned office manager with several years of experience
trained in taking minutes
fluent in English and basic Dutch
permit to work in The Netherlands

Key Skills:
Strong organizational skills, attention to detail, proactive problem-solving, excellent communication, proficiency in office management, and computer skills in Google and Office (Excel).
